01

Who We Are

The organisation responsible for your personal information.

Crazy Nightclubs is the data controller responsible for the personal information described in this Privacy Policy for the purposes of the UK General Data Protection Regulation, the Data Protection Act 2018 and other applicable UK data protection laws.

This Privacy Policy applies to personal information collected through our website, telephone calls, emails, social media pages, online forms, booking enquiries and customer communications.

02

Information We Collect

The information we may collect when you contact or book us.

Payment card information: We do not normally receive or store your complete debit or credit card details. Card payments are processed by the relevant payment service provider, such as SumUp, under its own privacy and security arrangements.
03

How We Use Your Information

The reasons we need to process customer information.

04

Our Lawful Bases

The legal reasons that allow us to use personal information.

Contract

We use information where it is necessary to respond before a booking, enter into a hire agreement or provide the services you have booked.

Legal Obligation

We use and retain information where needed to comply with tax, accounting, court, law-enforcement or other legal requirements.

Legitimate Interests

We may use information to operate and improve our business, protect equipment, manage customer relationships, prevent fraud and defend legal claims, where our interests do not override your rights.

Consent

We rely on consent where required, including for certain marketing, photographs or non-essential cookies. Consent may be withdrawn at any time.

05

Marketing Communications

How we may contact you about offers and services.

We may send marketing communications where you have provided valid consent or where another lawful method is permitted under UK data protection and electronic marketing rules.

You can unsubscribe or object to direct marketing at any time by using an unsubscribe option in the message or by contacting us. Once you object, we will stop using your personal information for direct marketing.

Booking confirmations, payment reminders, delivery information and important safety messages are service communications rather than marketing and may still be sent where needed to fulfil your booking.
06

Sharing Your Information

Organisations that may receive limited information where necessary.

We do not sell your personal information. We may share relevant information with trusted service providers where this is necessary to operate our business or provide your booking.

These organisations may include:

Service providers are only given the information reasonably necessary for their role and are expected to protect it appropriately.

Customer Reviews — Elfsight

With your consent, we load an Elfsight widget to display reviews from the sources connected to our review feed. Elfsight receives your IP address, browser type and operating system to operate and secure its service. Its published policy says these technical logs are kept for seven days. It uses the elfsight_viewed_recently cookie to prevent inflated view counts. You can unload the widget using “Hide Reviews and Withdraw Consent”. This does not remove cookies already stored; use your browser settings to clear them. See the Elfsight Privacy Policy.

Enquiry and Review Forms — Web3Forms

We use Web3Forms to process and email your enquiry or review to us. The details you submit, such as your name, contact details, booking information and message, pass through this service. Web3Forms acts as our data processor and uses infrastructure and spam-prevention providers. It may process IP addresses and email addresses for spam checks.

Web3Forms operates from India and uses international infrastructure. Its published policy describes transfer safeguards and retention of submissions for up to three years, unless a shorter plan period applies or they are deleted earlier. Our own copies follow the retention arrangements in this policy. Read the Web3Forms Privacy Policy and its linked Data Processing Agreement for details.

Postcode Delivery Estimates

When you enter a complete event postcode in our delivery calculator, your browser sends it to Postcodes.io to find its approximate location. The resulting postcode coordinates and our Northampton starting coordinates are sent to the OSRM routing service at router.project-osrm.org to estimate road distance and delivery charges. These providers also receive your IP address and normal connection information when your browser contacts them. Your name, telephone number and other booking details are not included in these lookup requests.

We use this information to provide the delivery quotation you request before making a booking. The calculator keeps lookup results temporarily in the page's memory; it does not save them in cookies or local storage. If you send a booking enquiry, your postcode, estimated distance and delivery charge form part of your enquiry and are handled under the retention arrangements in this policy. You can contact us directly for a delivery quote instead. Estimates remain subject to our confirmation.

Postcode lookup: Postcodes.io. Routing: OSRM, using OpenStreetMap data © OpenStreetMap contributors.

07

International Data Transfers

Some technology providers may process information outside the UK.

Some providers we use, including website, payment, email, social-media or cloud-service providers, may process or make personal information accessible from countries outside the United Kingdom.

Where a restricted international transfer takes place, we take reasonable steps to ensure an appropriate legal safeguard is used, such as UK adequacy regulations, an approved transfer agreement or another lawful transfer mechanism.

08

Data Retention

How long we normally keep different types of information.

Booking and Financial Records

These are normally kept for up to six years after the relevant accounting period or transaction, where required for tax, accounting or legal purposes.

Unsuccessful Enquiries

Enquiries that do not become bookings are kept only for as long as reasonably necessary to respond and maintain appropriate records.

Complaints and Incidents

Information may be retained for the period reasonably needed to investigate the matter, meet insurance requirements and establish or defend legal claims.

Marketing Records

Marketing preferences and suppression records may be retained so that we can respect unsubscribe requests and avoid contacting you again.

The exact period may depend on the nature of the information, the reason it was collected and any applicable legal, insurance or contractual requirements.

09

How We Protect Your Information

Measures used to reduce unauthorised access, loss and misuse.

Although we take reasonable precautions, no website, email service or internet transmission can be guaranteed to be completely secure.
10

Cookies and Website Information

Where non-essential cookies are used, the website should also display an appropriate cookie consent control and provide more detailed information about the individual cookies in use.

YouTube and Vimeo players are blocked until you select “Allow and Play Video” for that individual video. The provider may then receive your IP address and playback information and use cookies or similar storage. This optional processing is enabled by your consent. Select “Stop Video and Withdraw Consent” to unload the player. Consent is not remembered after a reload or navigation.

Our calculator and form submission code do not use cookies or persistent browser storage. Hosting security features may use necessary cookies. See our Cookie Policy for your choices and provider information.

11

Children’s Information

Bookings must be made by an adult.

Our booking services are intended for adults. We do not knowingly ask children to make bookings or provide personal information directly to us.

An adult making a booking should avoid providing unnecessary personal information about children attending an event.
